Vehicle Documents

V5 Vehicle Registration Document (V5C)

V5 Vehicle Registration Document (V5C)

This document contains the name and address of the registered keeper and vehicle details (commonly called the Log Book). From 1 July 2005 all existing old-style V5 Registration Documents will no longer be valid. You may well have been issued with a new V5C registration certificate already. The new certificate can be recognised by its prominent blue front page showing the words "Registration Certificate".

Keepers are asked to ensure that their personal details are correct and that the easily identifiable characteristics such as Make, Model, Colour, VIN/Chassis and Engine numbers on their new registration certificate are correct. If there are any inaccuracies on the registration certificate, the V5C must be returned to the DVLA for amendment.

V778 Retention Certificate

V778 Retention Certificate

If you would like to buy a vehicle number but have not yet purchased the vehicle to display the registration mark, you may retain the registration number on what is known as a 'Retention Certificate'. The certificate is valid for a period of up to 12 months, although depending on the date that the mark was first retained or renewed this period may be less. The grantee is the person(s) or company who the governing bodies regard as the owner of the mark. It is with them that all correspondence shall be undertaken.

In certain circumstances it is necessary to assign the mark to another person or organisation other than the grantee. For this reason a provision is made on the certificate to add the name of a third party to which the mark may be registered. This recipient is referred to as the 'nominee'. The application to add or amend a nominee may only be made by the grantee and it is therefore imperative that you are clear to whom the mark shall be assigned at the time of purchase.

Legal rights to the certificate remain with the grantee even when a nominee is specified. Subsequently, New Reg are reluctant to release certificates that bare the details of a grantee other than the New Reg registered address or the address of our client. Obviously when New Reg transact a purchase all the necessary amendments are made to retention forms prior to releasing cleared funds to the donor of the mark. However, amendments requested after payment has been made are more difficult to enforce and are better avoided.

If it is unavoidable that we must release a certificate you shall be requested to sign a declaration that you understand that the mark must be assigned prior to the expiry date of the certificate. In the event that New Reg release a retention form bearing the name of a third party it must be understood that we lose control of the transaction and shall not be held responsible for any further part in the transfer procedure.
